Department Overview:

The Healthcare Services department plays a critical role in providing support, opportunities, and resources to promote access to care and empower each individual. The Healthcare Services department is comprised of the Care Center Network, Family & Clinical Support, Medical Education, Operations, and Resource Center teams.

Position Description:

The Specialist, Care Center Network Grants is a key member of the Care Center Network Team, specifically supporting MDA's Care Center Grants program. The primary responsibility of this role is to support the needs of MDA's Care Center Grants Department and Programs, including administrative, technical, and relationship management components. The Specialist, Care Center Network Grants collaborates internally with colleagues across multiple departments, as well as externally, with key stakeholders across MDA's National Care Center Network. The Specialist, Care Center Network Grants manages communications and relationships with key contacts within Care Center grants and finance departments as well as members of MDA's Associated Provider Network. The Specialist, Care Center Network Grants reports directly to the Senior Director, Care Center Network.

What you'll do:
  • General support of the Care Center Network Department and its programs; including, but not limited to, assisting with internal and external communication and collaboration, maintaining accurate records, and supporting multiple process flows.
  • Develop and maintain productive, collaborative working relationships with key partners, medical institutions, and internal departments. Specifically including:
    • Manage communications and relationships with Care Center partners' grants, finance, and administrative personnel.
    • Manage communications and relationships with members of MDA's Associated Provider Network.
  • Assist in collaborating with other departments to enhance the engagement of clinicians with key stakeholders.
  • Responsible for processing Care Center Grant payments and coordinating with the Accounts Payable department.
  • Maintain expense database for multiple programs within the Care Center Network Department.
  • Actively support large annual projects, including Care Center Annual Reports, Grant Renewals, Care Center Network provider meetings, and others as assigned.
  • Generate and maintain up-to-date records and data, and produce timely reports as needed. (e.g. grant expenditure reports, partnership history, and educational grant status reports.)
  • Maintain accurate records on Care Center sites and Care Center Grants Programs, including file management, the grant administration database, and the patient management system. Responsible for maintaining complete MDA Care Center files including contracts, grant records, correspondence, and financial reports.
  • Maintain current and accurate records for Care Center Network & Associate Provider Network providers.
  • Maintain accurate records within the Care Center Directory listing on MDA.org.
  • Support managing MDA's Care Center Network Resource Hub & Gene Therapy Support Resource Hubs on the Co-Assemble platform, including uploading, organizing, and keeping content current and refreshed.
  • Support MDA Schedule Portal protocol, including providing access and technical assistance to sites and processing incoming schedules and patient lists.
  • Provide logistical support for projects and special events.
  • Enter & update data, mail merge, spreadsheets, forms, compose communications, and manage multiple inboxes.
  • Willing to assist all team members to meet deadlines and ensure successful projects.
  • Other duties as assigned.

Salary Range:

This position's salary range is $50,000 - $53,000. Final offer amounts and levels are determined by multiple factors, including your experience, and may vary from the amounts listed above.

Location:

Remote work with a minimum of 10% travel.

What we looking for:
  • Associate Degree required. Bachelor's Degree Preferred.
  • Advanced level proficiency with Microsoft Office Suite, One Drive and Share Point.
  • Proficiency with Salesforce and proposal CENTRAL desirable.
  • Ability to communicate in a consistent, proactive, and inclusive manner.
  • Proven ability to confirm mutual understandings, offer creative/strategic solutions for the execution of quality improvement.
  • Comfortable interacting with families from diverse disability, cultural and economic backgrounds within a semi- medical environment.
  • Successful track record in strategic workflow management and office management including accounting, project planning, conference organization.
  • Ability to manage time and priorities without direct supervision. Must track and monitor multiple projects simultaneously.
  • Possesses strong computer and technical skills.
  • Able to input and review data and information accurately.
  • Must have a strong customer service approach while taking a white-glove concierge style approach to fostering relationships with key stakeholders.
  • Highly organized and detail oriented; must be able to develop and maintain effective and up to date databases.
  • Proven experience and ability to foster, develop, and maintain strong relationships with key stakeholders.
  • Excellent communication skills (verbal and written).
  • Personable, polite, professional demeanor.
  • Must be able to work in a dynamic, complex, fast-paced organization.
  • Critical thinking and problem-solving skills commensurate with level of employment.
  • Data-driven thinker with excellent analytical skills and ability to identify and respond to issues/opportunities in a timely manner.
